About the Role

We're looking for a Finance & Operations Manager to be the operational backbone of Themis. This is a high-impact, cross-functional role that sits at the center of how we run the business — from managing day-to-day financial operations and supporting the CEO's external-facing commitments, to driving AI adoption across internal processes.

The ideal candidate is equally comfortable in spreadsheets and in board decks. They are detail-oriented yet strategic, resourceful, and bring a builder's mindset to every process they touch. This role will work directly with the CEO and have high visibility across the entire organization.

What You'll Do

Financial Analysis & Operations

  • Build and maintain financial models, dashboards, and reporting to support operational and strategic decision-making

  • Track budgets and key financial metrics; surface insights and flag issues proactively

  • Own core financial operations including accounts payable/receivable, invoicing, and address reconciliation issues with the Accounting and Invoicing vendors

CEO & Executive Support

  • Prepare materials and manage the submission process for investment requests on behalf of the CEO

  • Draft, compile, and maintain Investor updates

  • Support the CEO in ad hoc financial and operational analyses needed for external meetings, partnerships, and strategic initiatives

  • Own relevant follow-through on action items and deliverables stemming from Board/ Investor interactions

  • Send out product marketing emails to all customers 

AI Operationalization

  • Identify and lead high-leverage opportunities to automate or streamline internal workflows using AI across functions like finance, operations, HR, Customer Success

  • Build, document, and roll out AI-powered processes that reduce manual effort and improve consistency across the company

  • Serve as an internal champion for AI literacy

Communications & Content Operations

  • Support production of the company newsletter, including content coordination, drafting, scheduling, and distribution

  • Maintain internal documentation, SOPs, and process guides for finance and operations workflows

  • Assist with cross-functional communications that require financial or operational context

Operational Excellence

  • Identify and eliminate operational inefficiencies across the company

  • Build scalable systems and processes that grow with the business

  • Own special projects and cross-functional initiatives as the company evolves

  • Maintain accurate records and ensure data integrity across financial systems

Required Qualifications

  • 4–5 years of experience in finance, operations, or a related business function, ideally at a startup or high-growth company

  • Strong financial acumen — comfortable with P&L, cash flow, budgeting, and financial reporting

  • Experience preparing executive-level materials such as board decks, investor updates, or financial summaries

  • Demonstrated ability to manage multiple priorities and deliver high-quality work under tight timelines

  • High proficiency in spreadsheets (Excel or Google Sheets) and financial modeling

  • Strong written communication skills — able to translate complex information into clear, compelling materials

  • Self-starter with strong organizational instincts and exceptional attention to detail

Preferred Qualifications

  • Experience supporting a CEO or C-suite executive in a high-paced environment

  • Familiarity with investment request processes, grant applications, or venture financing documentation

  • Experience in fintech, financial services, or a B2B SaaS company

  • Working knowledge of AI tools (e.g., Claude, ChatGPT, Notion AI, Zapier) and a track record of applying them to business problems

  • Experience with accounting platforms (e.g., QuickBooks, Ramp, Brex, Gusto) and modern SaaS operations stacks
