Job Description: Bilingual Legal Administrative Specialist - Cross-Jurisdictional Support

Position Overview

We are seeking an exceptional bilingual legal administrative professional to provide comprehensive support to our cross-jurisdictional legal team specializing in transactions between the United States and Latin America. This advanced position requires expertise in managing documentation, communication, and administrative processes across both common law and civil law systems. The ideal candidate will serve as the operational foundation of our practice, ensuring seamless coordination of complex legal matters while leveraging advanced technology and AI tools to enhance efficiency and accuracy.

Core Responsibilities

Cross-Jurisdictional Document Management

  • Manage complex filing systems for documents governed by multiple jurisdictions

  • Assist in organizing and tracking property records across U.S. and Latin American registry systems

  • Maintain organized databases of precedent documents in both civil and common law formats

  • Ensure proper retention and retrieval of notarized and authenticated documents

  • Implement AI-assisted document classification and retrieval systems

Bilingual Administrative Support

  • Provide administrative support in both English and Spanish

  • Schedule and coordinate meetings across multiple time zones and jurisdictions

  • Manage correspondence with international clients, counsel, and government officials

  • Process and track international payments and transaction funds

  • Maintain calendars with jurisdiction-specific deadlines and filing requirements

Technology and AI Tool Management

  • Serve as primary administrator for AI-assisted legal research and drafting platforms

  • Maintain knowledge bases and document repositories for AI training and reference

  • Implement and refine AI-assisted workflows for repetitive document processing

  • Create templates and systems for AI-assisted document comparison across legal systems

  • Track technology updates and suggest process improvements

Document Preparation and Processing

  • Prepare initial drafts of routine legal correspondence in both English and Spanish

  • Format and finalize complex bilingual legal documents

  • Coordinate document execution according to jurisdiction-specific requirements

  • Process notarizations, apostilles, and other authentication procedures

  • Assist with translations and maintain terminology databases for consistent usage

Client Service and Communication

  • Serve as initial point of contact for clients on administrative matters

  • Provide clear explanations of cross-jurisdictional document requirements

  • Track and communicate status updates on multi-step international transactions

  • Coordinate with international partners, including notaries and registration officials

  • Maintain client relationship management systems with cross-jurisdictional information

Required Qualifications

Education and Certification

  • Associate's degree in paralegal studies, legal administration, or related field

  • Advanced paralegal certification (ACP) or equivalent preferred

  • Notary Public commission strongly preferred

  • Certification in legal technology or relevant AI tools beneficial

Experience

  • Minimum 3-5 years of experience in a legal administrative role

  • Previous experience in international law or cross-border transactions

  • Demonstrated experience managing complex document processing workflows

  • Experience with property transactions and corporate formation documentation

  • Previous exposure to AI tools in professional settings

Knowledge

  • Functional understanding of differences between common law and civil law systems

  • Familiarity with legal documentation requirements in multiple jurisdictions

  • Knowledge of international document authentication procedures

  • Understanding of property registration processes

Language Skills

  • Full professional fluency in both English and Spanish

  • Skill in managing bilingual communications professionally
