About your role:
As Management Assistant with a focus on Human Resources, you will act as a trusted partner to the C-Level team and take ownership of key people-related, administrative, and organizational topics. You will help build scalable HR structures, improve internal processes, and ensure that GATE Space runs smoothly as the company grows.
Your primary tasks:
Ensuring efficient communication, follow-up, and execution across multiple internal workstreams
Handling sensitive information with professionalism, discretion, and confidentiality
Proactively identifying bottlenecks and implementing practical solutions
Acting as strong operational support and reliable sparring partner for the C-Level team
Taking ownership of HR-related processes, including recruiting coordination, onboarding, employee documentation, and people operations
Supporting the development and improvement of HR structures, workflows, and internal processes
Leading cross-functional organizational projects that contribute to GATE Space’s growth and operational excellence
Coordinating between leadership, employees, candidates, and external stakeholders
Qualifications:
Required:
Completion of secondary education (e.g., Austrian HAK (Handelsakademie), HASCH (Handelsschule), or an equivalent high school qualification) or a bachelor's degree in Human Resource Management, Business Administration, Management, Psychology, or a related field is an advantage
Minimum 3 years of experience in an assistant, operations, HR, people operations, or project coordination role
Strong hands-on mentality and ability to move topics forward independently
High level of autonomy, ownership, and self-sufficiency
Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment
Excellent stakeholder management and communication skills
High level of motivation, creativity, and problem-solving ability
Strong team-playing capabilities combined with the confidence to take responsibility
German language skills (min C1)
Excellent written and spoken English
Prefered:
Experience in leading organizational or HR-related projects
Experience in recruiting, onboarding, or people operations
Familiarity with HR tools, applicant tracking systems, or internal process management
Experience in a fast-growing company, startup, or scale-up environment
About your employment
We are looking for a minimum 30h/CW possible full-time team member to join us as soon as possible. This position is based on-site in Vienna, Austria, with minimum travel across Europe.
What We Offer
Minimum annual gross salary of EUR 45,000. A higher salary can be offered depending on qualifications, experience, and professional background.
