 Job Description

City Impact is pleased to announce a full-time opportunity to serve in the day-to-day operations of this non-profit organization. The office coordinator is responsible for being the initial representative to City Impact Center. They manage and monitor daily visitation, ensuring the safety and security of our organization. This position will be onsite at the City Impact Center and reports directly to the Director of Operations.

 Key Responsibilities

Office and Security Coordination

●      Verifying visitor information and access to the City Impact Center

●      Monitor security system

●      Answering phone calls, sorting and distributing mail, and ensuring efficient operations of our internal processes and communication

●      Coordinating on-boarding and off-boarding procedures, assigning tasks to appropriate staff for completion, and following up to ensure all steps are complete

●      Assist in the development and implementation of our digital filing strategy and procedures

●      Coordinating the audit process

●      Other duties as assigned

 Executive Assistance

●      Answering the Executive Director’s and Director of Operations telephone line and taking messages.

●      Preparing board of directors’ quarterly meeting reports

●      Scheduling appointments, internal and external meetings on the Executive Director’s calendar

●      Other duties as assigned

 Accounts payable & receivable

●      Processing incoming bills and all accounts-payable

●      Maintaining records of all vendors and invoices paid

●      Issuing tax-exempt documents to vendors

●      Generating invoices to collect rent, utilities, and other money owed to City Impact

●      Managing our credit cards and receipts - issuing new staff cards, canceling cards of departing staff, and problem-solving issues with existing cards.

●      Other duties as assigned

What you Need

●      Customer service experience

●      Proficient with Microsoft Suite (Outlook, Word, Excel, etc.)

●      Desire to learn new skills and processes

●      Minimum High School Degree or equivalent
