As we expand into federal, state, and local government contracting, we are looking for a highly organized Government Contracts Virtual Assistant to support our proposal operations.
This is a process management role. You will not be responsible for writing proposals. Instead, you will identify government contracting opportunities, coordinate proposal activities, manage deadlines, and ensure complete and accurate submissions.
Position Summary
The Government Contracts Virtual Assistant will help manage the entire proposal lifecycle—from identifying opportunities through final submission.
You will work closely with our AI research platform and leadership team to ensure every proposal is organized, compliant, and submitted on time.
Key Responsibilities
Opportunity Research
Monitor federal, state, county, and municipal procurement websites.
Identify government contracting opportunities that align with AlphaHire’s services.
Review solicitations and summarize key requirements.
Maintain an organized pipeline of active opportunities.
Proposal Coordination
Download and organize solicitation documents.
Build compliance checklists and submission timelines.
Track amendments, Q&A deadlines, and proposal due dates.
Coordinate required documents and certifications.
Ensure all submission requirements are completed.
Proposal Submission
Prepare proposal packages for submission.
Upload proposals through government procurement portals.
Verify successful submissions.
Maintain detailed submission records.
Monitor award notifications and procurement updates.
Administrative Support
Maintain capability statements and company documents.
Update registrations and vendor profiles as directed.
Organize proposal templates and supporting documentation.
Keep proposal files and records organized.
Assist with special projects as assigned.
Required Qualifications
2+ years of experience supporting government contracts, proposals, procurement, or project coordination.
Excellent written and spoken English.
Strong organizational and project management skills.
Experience working with multiple deadlines.
High attention to detail.
Proficient with Microsoft Office and Google Workspace.
Reliable high-speed internet connection and professional home office.
Preferred Qualifications
Experience with one or more of the following is preferred:
U.S. federal, state, or local government procurement
SAM.gov
Government procurement portals
Proposal or bid coordination
RFP or RFQ administration
Compliance tracking
Virtual assistant or project coordination experience
